Pastoral Associate for Administration & Outreach

Church of the Ascension, a Catholic parish of 3,300 families, is looking for a full-time professional with administrative experience to serve as the parish’s Pastoral Associate for Administration and Outreach.  The incumbent in this role is a key collaborator with the parish pastor, serves on the Parish Leadership Team, and is responsible to the pastor for overseeing the parish’s administrative, financial, and human resources functions, as well as supervising the parish grounds and facilities operations, maintenance and planning; IT services, and other aspects of the parish’s operational infrastructure.  The Pastoral Associate for Administration and Outreach also supervises the parish accountant and, on behalf of the pastor, the parish’s Minister for Care and Social Justice, who coordinates the parish’s charitable outreach and justice apostolates.   A fitting candidate for this role should first off, be a committed Catholic, in full communion with the Church, and eager to further the mission given by Christ Jesus to His Church.  Additionally, candidates should have some business-related or human resource degree with a working knowledge of organizational administration, budgets, sound financial management and reporting, and an aptitude for facilities management and planning.  The ideal candidate will also be a proactive, team-oriented leader and possess strong communication and interpersonal skills.  Candidates for this role should have at least five years of demonstrated supervisory experience.

JOB SUMMARY: The Pastoral Associate for Administration and Outreach is a key leader in the parish and a member of the Parish Leadership Team (PLT).  The incumbent in this role works closely with the pastor and assists the parish pastor in his administrative and pastoral outreach responsibilities.  The Pastoral Associate for Administration and Outreach is responsible for parish administration, front office operations, facilities and grounds management and maintenance, technology infrastructure, human resources as well as overseeing the parish accountant and parish financial management.  The incumbent in this role also oversees the Minister for Care and Social Justice who coordinates the parish’s charitable service, outreach and justice ministries.

  1. Ensure sound management of parish assets including bank accounts, investments, and other financial assets by ensuring effective internal controls, responsible oversight, as well as accurate, transparent and timely accounting and reporting.
  2. In consultation with the Archdiocesan Human Resources Office, the incumbent is responsible for managing the parish’s human resource functions by processing bi-weekly payroll, overseeing annual benefit enrollment, maintaining personnel policies and employee files, processing new-hire onboarding procedures, overseeing leave and termination processes, and in consultation with the pastor address employee performance and behavior issues as well as compensation matters.
  3. The Pastoral Associate for Administration ensures effective parish office operations by supervising the parish Office Manager and by overseeing parish support functions (phones, copiers, desktop devices, cameras, access controls, etc.), facility space allocation, and technology infrastructure for parish and school, as well as by ensuring the integrity of the parish database.
  4. Supervises the parish’s Coordinator of Maintenance and Custodial Services, oversees maintenance of all buildings and grounds, and in collaboration with the Archdiocesan Office of Real Estate and Construction oversees planning for major construction projects, including chairing the parish’s Building Maintenance Committee, serving on any ad hoc parish building committees, as well as overseeing, coordinating contracts and service/supply procurements, as well as interacting with contracted vendors / service providers. 

Supervises the parish’s Minister for Care and Social Justice, ensuring that the parish’s charitable and pastoral outreach, as well as ensuring that justice ministries are vibrant and fulfilling the pastor’s vision.

  1. The incumbent for this position works with sensitive financial records and must ensure that they are properly maintained, and that parishioner and employee confidentiality is respected.
  2. Collaborates with colleagues in comparable roles at regional parishes and with various Archdiocesan Offices to ensure a certain standardization and a coordinated effort by the local Church.
  3. Serves as an ex-officio member of the parish Finance Council and interacts regularly with the school leadership regarding school human resource management, accounting, facilities, as well as school support systems (phones, copiers, desktop devices, cameras, access controls, etc.) and technology infrastructure.

JOB SCOPE: The Pastoral Associate for Administration and Outreach is the lead person on the parish leadership team (PLT) for ensuring, in collaboration with the pastor, effective day to day operations of the parish.  As a member the PLT, the incumbent assists the pastor in managing all aspects of parish life and in guiding and communicating the parish’s mission and vision.  The incumbent in this role must be able to relate well to clergy, other parish leaders, staff members, parishioners and the general public.  The incumbent is a visible leader in the parish and must conduct themselves in a manner consistent with this leadership role in the Church.

EDUCATION AND EXPERIENCE: Since the role shares in the pastor’s ministry, the incumbent must be a devout Catholic, well-formed in the content of the faith and dedicated to the evangelical mission given by Christ to the Church.  The person must have or quickly obtain a working knowledge of the Church’s theology of stewardship.  The incumbent in this role, availing themselves to the sacraments, must strive for holiness.  Proficiency in using a computer and modern technology, including social media, is expected.  Formal training or at least practical experience with standard office software such as Word, Google Docs, Chrome or other browsers, Excel and typical email software. Bachelor’s degree with at least 5+ years demonstrated related experience in project management, finance, and/or human resources and 2+ years of supervisory experience is preferred.  Strong oral and written communication skills and experience handling confidential, sensitive matters.

The occupier of this role will work primarily during standard business hours, but must be available, on occasion, for evening and weekend meetings and facility emergencies.  The role will primarily involve sitting at a desk and working in an office environment.  Ability to use a computer, file and lift and ambulate sufficiently to carry out the duties described above.

WORKING ENVIRONMENT: The working environment is primarily that of an office environment.  Since we are a church, maintaining a charitable and Christ-like environment is something that all parish employees are expected to maintain.  Occasionally, the incumbent might be required to attend or present at events located off site.  Use of personal transportation may be needed to carry out this aspect of the job.
